FULL CHARGE BOOKKEEPER


Fellowship for the Performing Arts is a Christian Arts Ministry that publishes the Listener's Bible and recently produced a theatrical production of C. S. Lewis' The Screwtape Letters. We are currently seeking a highly qualified candidate to join our team of professionals at our offices in Morristown, New Jersey, 25 miles west of Manhattan.

The positon offers a competitive salary based on experience and excellent benefits (medical, IRA, parking and pleasant, small office work environment). The applicant should have a minimum of four years experience, good communications skills and an excellent knowledge of QuickBooks (Wholesale & Manufacturing edition, a plus) and MSExcel. 

FPA operates within a balanced budget and is supported by the gifts and offerings from individuals; honorariums and ticket sales from live events; and from the sale of audio/video resources. FPA is a registered 501(c) (3) not-for-profit organization. FPA answers to an independent board of directors and submits audited financial statements.

JOB DESCRIPTION
This position reports to the President and has responsibility for maintaining all financial records, which include but are not limited to the following:

Accounts Payable
1. Prepare purchase orders, post and process same.
2. Vet invoices, make payments on our cycle dates of the 15th or 30th monthly.
3. Post credit card statements.
4. Communicate with vendors, when indicated, to negotiate prices toward lowering our product cost of goods.
5. Prepare royalty statements for all artists and publishers quarterly.

Accounts Receivable/Cash Receipts
1. Monitor account receivables; reconcile sales/aging accounts in both Oasis and QuickBooks. Distribute monthly reports to staff.
2. Manage customer delinquencies and customer service issues.
3. Process credit applications and recommend credit line limits.
4. Review accuracy of figures input by administrative staff.

Payroll
1. Process payroll twice a month, maintaining payroll records.
2. Reconcile tax deductions quarterly and end of year W2's.

Month End Processing
1. Reconcile bank statements and credit card statements; post monthly royalties; monitor and recommend investments; prepare month-end sales summary.
2. Make required journal entries.
3. Review month-end transaction reports, P&L class report, balance sheet, P&L statement with President by the 10th of the month.
4. Pay monthly sales tax due.
5. Review with accountants on a quarterly basis all ledgers in preparation for year-end audit.

Inventory Management
1. Prepare purchase orders for replication of media, assembly of product and goods from vendors.
2. Reconcile any inventory discrepancies between FPA inventory locations and fulfillment house online stats.
3. Maintain consignment inventory for two large accounts.
4. Review inventory levels weekly; review needs with manager on monthly basis, or as needed.

Other Important Responsibilities

1. Maintain confidentiality where indicated.
2. Review services; negotiate contracts and make recommendations how to manage resources and operations more efficiently.
3. Provide back-up support for database, customer calls, order processing and customer service needs.
4. Liaison with computer tech support, equipment repair.
5. Prepare all ECFA, forms
6. Prepare all state and federal forms
7. Prepare all forms and reports for audit preparations and auditor's annual visit and cooperate with auditors during field review.
8. Work closely with management's direction to evaluate and implement initiatives that further the mission of FPA.
